What Is a Bookkeeping Cleanup — and Do You Need One?

A cleanup is not a punishment for falling behind. It is a defined project that turns an unreliable accounting file back into something you and your tax professional can use.

A bookkeeping cleanup is a one-time project to review, organize, reconcile, and correct books that have drifted. Most cleanups start the same way: the owner opens a report, sees a number that cannot possibly be right, and realizes the file has not been reconciled in a while.

Signs your books need a cleanup

  • Bank and credit card accounts have not been reconciled in months
  • A long list of uncategorized transactions
  • Balance Sheet accounts you cannot explain
  • Duplicate deposits or missing expenses
  • Personal spending mixed into business accounts
  • Your tax professional asked for corrected books before filing

What actually happens during a cleanup

The file is reviewed first, then the chart of accounts, then the transactions. Bank and credit card accounts are reconciled for the months in scope. Duplicates, errors, and inconsistencies are identified and corrected. If reporting is unusable because of how the accounts are structured, the chart of accounts is reorganized. Not every cleanup requires every step — the review determines which ones yours needs.

How long it takes

It depends on how far back the work goes and how many accounts are involved. A single year with two accounts and moderate volume moves quickly. Several years across multiple accounts and processors takes longer, and is normally worked through oldest period first so each reconciliation builds on the one before it.

How cleanup is priced

Custom quote following a review of your books. Pricing depends on transaction volume, the number of months or years involved, the number of bank and credit card accounts, the condition of the books, complexity, and how much reconciliation and correction is needed. Cleanup is not a flat monthly calculation.

What you get at the end

  • Reconciled bank and credit card accounts for the periods in scope
  • A chart of accounts that matches how your business works
  • Financial reports that can be reviewed with confidence
  • Books organized for ongoing bookkeeping and for your tax professional

Frequently asked questions

How far behind can I be before cleanup is not worth it?
Businesses several years behind can still be brought current. The question is usually scope: which periods actually need to be corrected, and which only need to be reconciled at a summary level for the tax return.
Will you need my bank logins?
No. Reconciliation is done from statements and read-only or accountant-level access. You keep control of your banking credentials.
Do I have to sign up for monthly bookkeeping afterward?
No. Many clients move into monthly bookkeeping so the books stay current, but the cleanup can also be delivered as a standalone project.
